Everything ReturnSignal does with one returned box

ReturnSignal is a single record per return: an identifier, what the order expected, what actually arrived, the photographs taken while someone was looking at it, and a packet that can be handed to anyone afterwards.

Receiving and lookup

Every return starts as an identifier, not an item. A processor looks the return up by tracking number, RMA or Amazon order ID, and the record opens with the order already attached. Universal lookup means the person on the dock does not need to know in advance which of the three they are holding.

Returns can also be brought in from an Amazon returns export by file, which is how historical returns arrive without any connection at all.

Inspection and condition grading

Inspection records a condition grade against what the order expected — new, used, damaged, incomplete, wrong item — and holds the difference between the two as an explicit expected-versus-received comparison rather than a note. An inspection that is interrupted saves as a draft and is picked up later without losing what was already recorded.

Evidence capture, assignment and ordering

Photographs are taken at the dock on a phone: a processor scans a QR code, the camera opens, and the images are held on the device while they work, uploading together when they press Done. Evidence can also be uploaded from a desktop, organized into categories and reordered. Every photograph is assigned to an item and a category, so nothing in the record is an unlabelled image.

Evidence packets

A packet is immutable and versioned, produced as a PDF and a ZIP, downloadable in one click. It contains a numbered evidence index, the expected-versus-received comparison and a full timeline. Generating a new one does not alter an old one.

Closing a return

A return is closed explicitly, by a person, as its own act. Nothing closes itself on a timer, so an open return means the work is genuinely unfinished.

Roles and the activity log

Four roles: Account Owner, Returns Manager, Processor and Read-only. The activity log records who inspected a return, when they did it, what they graded it and what they uploaded. It is the answer to the question that arrives weeks after the box did.

What ReturnSignal does not do

ReturnSignal does not file claims and does not handle money. It does not communicate with Amazon on your behalf, does not submit anything for you, does not decide whether a discrepancy was anyone’s fault, and cannot affect the outcome of anything you choose to file.
